  1. Mailbox Monitoring: The system scans the designated Gmail account for new filings every 24 hours.
  2. Document Retrieval: Extracts and temporarily stores documents from email links in OneDrive.
  3. Content Summarization: Utilizes ChatGPT to scrape and summarize the text based on predefined criteria.
  4. Document Formatting: Automatically formats the summary in a Word document according to Yamamoto's template.
  5. Review and Distribution: Summaries are reviewed by Jesi before being saved to NetDocuments and emailed to the firm.

This AI-powered workflow eliminated tedious manual tasks, allowing Jesi to focus on higher-value work while ensuring timely and accurate information distribution across the firm.

  3. Text Summarization:

    • ChatGPT Connector – A ChatGPT connector was integrated to enhance the summarization process, extracting key points and generating concise summaries tailored to Yamamoto’s needs.
    • Dynamic Formatting – The system automatically structures the summaries into a preformatted Word document template, maintaining consistency and professionalism in the final output.

    4. Review and Distribution:
    • Manual Review Step – Jesi reviews the AI-generated summaries before final distribution, ensuring accuracy and refinement.
    • NetDocuments Integration – The reviewed summaries are automatically uploaded to NetDocuments, streamlining document management.
    • Email Distribution – The summaries are then automatically sent to the firm, ensuring timely and reliable dissemination of critical information.

Are the document libraries stored in Office 365 subject to AI crawling?

Yes, but only within your private Microsoft 365 environment. Microsoft’s AI services, including Copilot, can “crawl” and process content in your document libraries, whether or not you’ve purchased Copilot licenses. However, this is very different from public AI training:

Private only: Data in your Microsoft 365 tenant stays inside your cloud. Not public training: Your documents are not shared with the open web or used to train public AI models.
